How to get a PDF under 1 MB, 500 KB or 200 KB
To compress a PDF to 1 MB or less, reduce the size of the images inside it, remove any pages the form does not need, and rescan pages that were photographed at very high resolution. Most documents reach 1 MB easily. Getting to 500 KB or 200 KB takes a little more care, but it is usually possible for a few pages.
Why upload forms set size limits
Job portals, university admissions, government services and visa sites often cap uploads at 1 MB, 500 KB or 200 KB. Small files keep their servers fast and their storage costs down. The limit is strict: a file that is even slightly over will be rejected, often with an unclear error.
Before you start, check two things on the form:
- The exact limit. "Up to 1 MB" and "less than 1 MB" can behave differently at the edge.
- How it counts. Some systems treat 1 KB as 1,000 bytes and others as 1,024 bytes. If your file is right on the line, aim a little lower to be safe.
How to compress a PDF to 1 MB
For a typical document of a few pages, this is usually enough:
- Open the PDF in a compression tool.
- Choose a balanced or medium setting.
- Compress and check the new size.
- Open the result and make sure the text is readable.
- If it is still over 1 MB, try a stronger setting.
A text-based PDF, such as a CV exported from a word processor, is often well under 1 MB already. If yours is not, it probably contains a large photo, an embedded image or a scanned signature page. That one item is what you need to shrink.
Getting under 500 KB
Once you can compress a PDF to 1 MB, halving it again is mostly about removing weight. At this size every page counts. Work through these steps in order and check the size after each:
- Remove pages the form did not ask for, such as blank pages, cover sheets and extra copies.
- Compress with a stronger setting.
- Rescan any photographed pages using a scanner mode, which flattens and whitens the page.
- Use greyscale or black and white for pages that are only text.
- Crop out the background around scanned pages.
Removing a single high-resolution page can save more than any compression setting. The reorder, rotate or delete pages guide shows how to drop pages quickly.
Getting under 200 KB
200 KB is tight for anything with images. It is very achievable for one or two scanned text pages in black and white, and hard for a multi-page colour document. Try:
- scanning in black and white rather than colour;
- keeping only the pages that are truly required;
- making sure each page is the right paper size, not a giant photo;
- compressing at the strongest setting, then checking that small text is still readable.
If the document is long and the limit is 200 KB, ask whether the portal accepts several files. Uploading each section separately is often allowed and keeps every page legible.
What to do if it will not go small enough
Sometimes a file refuses to shrink. Common reasons and fixes:
- It is already compressed. Go back to the original and start from there, not from an earlier compressed copy.
- It is mostly photos. Convert the photos to smaller images first, then rebuild the PDF.
- It has many pages. Split it, or upload only the pages that are required.
- It has embedded fonts for many scripts. This adds some weight, though usually less than images.
When you need to send many files at once by email rather than upload them, bundling them into one archive can help with organisation. See how to send several PDFs as one ZIP file, but note that ZIP rarely makes PDFs much smaller, because their images are already compressed.
Keep it readable
A tiny file that nobody can read will still be rejected, just later. Whenever you compress a PDF to 1 MB or below, check it before you upload:
- zoom in on the smallest text, such as dates and reference numbers;
- check stamps, signatures and photos on ID cards;
- open the file in another app to be sure it is not damaged.

Compressing to a size limit with PDF Burrow
PDF Burrow has a Compress PDF tool that reduces file size on your phone, so your documents are not uploaded. Organize Pages lets you delete pages you do not need before compressing. With Voice Commands you can also say something like "delete page 3, compress under 1 MB and WhatsApp it", and the app runs the steps one by one.
Frequently asked questions
Why is my one-page PDF over 1 MB?
It is almost always a photo of the page saved at full camera resolution. Rescan it with a scanner mode or compress the image, and it should drop well below 1 MB.
Will compressing to 200 KB make my document blurry?
It might, especially for colour pages. Black-and-white scans of text usually stay readable at that size, so try that first and always zoom in to check.
Can I compress a password-protected PDF?
You need to open it with the password first. Many tools cannot process an encrypted file until it is unlocked, and you can protect it again afterwards.
Is 1 MB the same as 1,000 KB?
It depends on the system. Some count 1 MB as 1,000 KB and others as 1,024 KB. If your file is very close to the limit, make it a little smaller to be safe.
