How to make a professional invoice PDF on your phone

To make a professional invoice on your phone, open an invoice maker, fill in your business details, the client's details and each item with its price, set the tax rate and add your logo, then export it as a PDF and send it. The app works out the totals for you. What makes it look professional is less the design and more the details: a unique number, clear dates and payment terms.

What should an invoice include?

An invoice is a document asking a client to pay for goods or services you have provided. Rules about what must be on it vary by country and by whether you are registered for tax, so check your local requirements. Most invoices include:

  • The word "Invoice" at the top, so nobody confuses it with a quote.
  • An invoice number that is unique and follows a sequence, such as 2026-014.
  • The invoice date and the due date.
  • Your details: business or trading name, address, email or phone, and any tax registration number you have.
  • The client's details: name, company and address.
  • A list of items: a short description, quantity, unit price and line total for each one.
  • Subtotal, tax and total, clearly separated.
  • Payment details: how to pay and the reference to use.
  • Payment terms: for example, "Payment due within 14 days".

How to make an invoice with an invoice maker, step by step

  1. Open an invoice maker and start a new invoice.
  2. Enter your business details and upload your logo if you have one.
  3. Add the client's name and address.
  4. Set the invoice number, the invoice date and the due date.
  5. Add each item or service, with quantity and price.
  6. Choose the currency and set the tax rate, if you charge tax.
  7. Check the subtotal, tax and total that the app works out.
  8. Add payment details and any notes, such as a thank you or your terms.
  9. Export the invoice as a PDF and preview it on screen.
  10. Send it to the client by email or a messaging app.

Tips that make an invoice look professional

  • Use a clear numbering system. A year prefix plus a running number is easy to follow and helps your own records.
  • Describe the work plainly. "Website design, homepage and three inner pages" is clearer than "Design work".
  • Keep the same layout every time. Repeat clients learn where to find the total and the payment details.
  • Name the file well. "Invoice-2026-014-Riverside-Bakery.pdf" is easier for a client's accounts team than "invoice(3).pdf".
  • Add your logo, but keep it modest in size. The total matters more than the branding.
  • Keep it to one page where you can.

Common invoice mistakes

  • Reusing an invoice number. Each invoice should have its own, even if you correct one.
  • Forgetting the due date. Without one, "pay when you can" is how the client may read it.
  • Wrong tax rate. If you charge tax, make sure you use the right rate for that item and place.
  • Missing payment details. Make it easy to pay you, or you will be answering questions instead.
  • Sending an editable file. Send a PDF, not a Word document, so the figures cannot shift by accident.

Should you protect or sign the invoice?

For most small invoices, a plain PDF is fine. For large amounts, you might add a signature, or protect the file with a password and send the password separately. See how to sign a PDF on your phone and how to password protect a PDF.

If your bank or payment provider gives you a payment link, adding it to the invoice saves the client time. Our guide on adding clickable links to a PDF shows how. Show the bank details as well, for clients who prefer a transfer.

Keeping track of what you have sent

A phone invoice maker is quick, but you still need records. Save every invoice PDF in one folder, named consistently. When several are due at the end of the month, you can bundle them into one archive for your accountant. See how to send several PDFs as one ZIP file.

Making invoices with PDF Burrow

PDF Burrow has a Create Invoice tool: you fill a form and get a polished invoice PDF with totals, tax and your logo. It also has an invoice starting point in Templates. The invoice is made on your phone, so your client and pricing details are not uploaded.

Frequently asked questions

Do I need to be registered as a business to send an invoice?

In many places, freelancers and sole traders can invoice under their own name. Tax and registration rules differ by country, so check with your local tax office or an accountant.

What is the difference between an invoice and a receipt?

An invoice asks for payment. A receipt confirms that payment has been made. Some people send an invoice first, then a receipt once the money arrives.

Can I edit an invoice after sending it?

It is better to issue a corrected invoice with a new number, or a credit note, than to change the one already sent. That keeps your records clear.

Should I send an invoice as a PDF or an image?

A PDF. It keeps text sharp, prints cleanly and is the format most accounts teams expect.
