Keep travel bookings and tickets organized with screenshots

Screenshots are a simple way to keep travel bookings and tickets organized, because they put every reference number, time and address on your phone where you can see it without signal. The trick is to capture the right details, keep each trip together with a tag or collection, and clear them out when you are home. Travel booking screenshots work best as a backup to the official apps and emails, not a replacement.

Why screenshots are so useful when travelling

Travel tends to happen exactly where your phone is least helpful. Airports, stations and border crossings can have weak signal. Roaming data may be expensive or switched off. Booking apps ask you to sign in again at the worst moment.

A screenshot does not need any of that. It opens instantly, works in airplane mode and is easy to show to someone at a desk.

What to screenshot for each trip

Think through the trip from leaving home to coming back, and capture what you would need at each step.

  • Flight, train or bus bookings. The booking reference, times, terminals or stations and seat numbers.
  • Tickets and boarding passes. Including the barcode or QR code, if the provider allows screenshots.
  • Accommodation. The confirmation number, check-in time, address and any door or key-box instructions.
  • The address in the local language. Handy for showing a taxi driver.
  • Car hire. The booking reference, pick-up location and opening hours.
  • Directions. A map of the route from the station or airport to where you are staying.
  • Insurance and emergency details. The policy number and the phone number to call.
  • Event and activity tickets. Timed entries, tours and restaurant bookings.

How to organize travel booking screenshots

  1. Capture as you book. Take the screenshot on the confirmation screen, then again when the booking is updated or a ticket is issued.
  2. Tag every screenshot with the trip. Use one tag per trip, such as "Lisbon June", so everything is grouped.
  3. Name the important ones. For example, "Return train, booking ref, Friday".
  4. Check the order of events. The day before you travel, open the trip and look through it from first to last, so nothing is missing.
  5. Mark favourites for the travel day. Star the boarding pass or ticket you will need first, so it is one tap away.
  6. Clean up when you are home. Delete what is no longer needed and keep only receipts or documents for refunds, claims or records.

When a screenshot is not enough

Some tickets and passes do not work as screenshots.

  • Changing codes. Some tickets use barcodes that refresh in the app, so a screenshot will not scan. The provider usually says so.
  • Changed bookings. If your flight time or platform changes, an old screenshot will show the old details. Check the official app or email on the day.
  • Official documents. A screenshot of your passport or visa is a useful backup, but it is not a substitute for the real thing.

Keeping travel screenshots private

Travel screenshots can hold a lot of personal information: your full name, booking references, passport numbers, home address and payment details. A booking reference combined with your surname can sometimes be enough to view or change a booking.

  • Do not post boarding passes or tickets publicly.
  • Cover booking references and barcodes before sharing a travel screenshot with anyone who does not need them.
  • Keep passport and ID screenshots in a locked folder.
  • Delete them once the trip is over, unless you need them.

Finding a booking quickly

At a busy desk, you want the right screenshot in seconds. If your screenshots can be searched by their text, search for the booking reference, the airline or hotel name, or the destination. A date filter for the travel day also helps. If you saved the reference weeks earlier, the method in how to find an order number you screenshotted weeks ago works for booking references too.

How Screenshot Brain helps

Screenshot Brain automatically labels bookings and travel screenshots and keeps them in a Travel collection that sorts itself. You can search for a flight code or hotel name because the text is read on your phone, add a tag for each trip and star the tickets you need first. Sensitive ones, such as passport screenshots, can go in a private folder locked with your PIN or fingerprint.

Frequently asked questions

Can I use a screenshot of a boarding pass at the airport?

Often, yes, but it depends on the airline and the airport. Check the airline's guidance, and keep the official app or a printed copy as a backup.

Should I screenshot my passport before travelling?

A screenshot or photo can help if your passport is lost, but keep it somewhere private and locked, not in your main gallery or a shared album.

What if my booking changes after I took the screenshot?

Take a new screenshot of the updated booking and delete the old one, so you do not show the wrong details at the desk.

How long should I keep travel screenshots after a trip?

Keep anything you might need for refunds, insurance claims or expenses until those are settled. Everything else can usually be deleted once you are home.
